RFPs and Digital Technology Accessibility Review

How does Digital Accessibility review happen in formal procurement activities, such as Requests for Proposals (RFP)

Details

RFPs (Request for Proposals) and other formal competitive procurement processes add some complexity to Digital Technology Accessibility Review. Please keep the following points in mind.

  • The university is required to consider digital accessibility when reviewing products through competitive procurement.
  • Generally, the university is required to procure the most accessibility product that meets the university's business needs.
  • RFP teams should request review of products that MEET THE MINIMUM BUSINESS NEEDS REQUIRED BY THE RFP.  Do not ask for accessibility review of submissions that do not meet the RFP's minimum requirements.
  • Do not wait for the finalist stage to request review of submissions.
  • When submitting RFP submissions for accessibility review:
    • You may use one request form to describe the use-case, users, scope, etc.
    • For each submitter, attach to the same request form:
      • their Accessibility Conformance Report(s).
      • their responses to the RFP's Accessibility Questions section.
    • Include a list of the product names in the "additional information" box at the end of the review request form.
  • When submitting many products for review please be aware that the review process may take longer than it typically does for a single product.
