How to Manually Add a Canon Printer to Windows (UM)

Download Canon Printer Drivers:

Canon Printer Driver Search

  1. Search for the Canon model in the link above.
  2. Download the drivers.
  3. Right-click on the zip file.
  4. From the small context menu, choose the option "Extract All".
  5. Extract files to a folder on the computer. 

To add the Canon printer:

  1. Click on the Windows logo on the keyboard and write "control panel" without the quotes. Hit Enter.
  2. Set the View by option to Large icons.
  3. Select Devices and Printers from the listed options.
  4. Click on the option to "Add a Printer".
  5. A window will appear and start scanning for local printers.
  6. Click on the option "The printer I want isn't listed"
  7. Select the option "Add a printer using TCP/IP address or hostname".
  8. In the "Hostname or IP address:" field type the full name of the printer. EX. UM-Lord-iR4235-1.printers.um.maine.edu
  9. When Hostname is entered, Port Name will be filled with the full name that was typed in.
  10. Uncheck the "Query the printer and automatically select the driver to use." The click Next.
  11. At the "Install a printer" prompt. Click on the "Have Disk" button.
  12. Click on the "Browse" button. Browse to the folder that was extracted to the computer earlier.
  13. Can do so by clicking on "Look in" and choose the correct folder to start from. Usually will be "Downloads" under "This PC".
  14. In the "Printer Name" field, use the first part of the printer name. EX. "UM-Lord-iR4235-1" without quotes.
    1. Name can technically be anything one wants it to be. We prefer people use the first part of the printer name.
  15. Click on the "Next" button. 
  16. Wait for "Installing Printer" to finish.
  17. For "Printer Sharing", choose the option "Do not share this printer".
  18. Skip clicking on the "Print a test page".
    1. The printer may need a department id entered first. We will print the test page later.
  19. Click on the "Finish" button.

 

Set Department ID:

  1. From the "Devices and Printers" window.
  2. Right-click on the newly created printer.
  3. Choose the option "Printer properties" from the context menu.
  4. A small window will appear with several tabs.
  5. Click on the "Device Settings" tab.
  6. Look for "User Management (J):"
  7. Click on the drop-down menu to the right of it.
  8. Select the option "Department ID Management".
  9. Click on the "Settings" button underneath the drop-down menu.
  10. Another smaller window will appear.
  11. Click on the small to checkmark the option "Allow PIN Setting".
  12. Enter in a department id in the "Department ID" field.
    1. May be referred to as a copier code. This code is usually issued to a person from their department head or AA.
  13. Enter in the same department id in the "PIN" field.
  14. Click on the "Verify" button.
    1. A small window will appear telling one if the department code is correct or not.
  15. Click "OK"
  16. Uncheck the checkmark for "Confirm Department ID/PIN When Printing".
  17. Click on the "OK" button.
    1. This method ensures one does not need to keep re-entering department id when printing a document.
  18. Click on the "General" tab.
  19. Click on the "Print Test Page" to print a test page.
  20. Check the printer for a Windows test page.
  21. Click on the "OK" button to complete the printer setup.
