When to Share Data Reports

Scope:  This article will provide a description of the different sharing levels for data reports.

Purpose: This article provides detailed descriptions of the three sharing levels for data reports which help authors to communicate their sharing guidance with the various report audience.

Detailed Information

The guidance here is provided as a starting point and should be used at the discretion of the report author. While report authors should consult the UMS Data Classification APL while compiling data for their reports, data classification levels do not necessarily prescribe the acceptable sharing guidance for completed reports. Report authors seeking additional guidance on report sharing should check with their supervisors and/or stewards of the data used as needed to decide on appropriate sharing. 

Sharing Level Report Sharing Guidance

Share Everywhere

The share everywhere icon that is used on reports to indicate the sharing level.

Reports that are published on university websites are typically understood to be shareable as public reports. Additionally, reports that do not include identifiable data or business-sensitive findings may be shared by authors as available for public consumption.

Sharing Limited

The Sharing Limited icon that is used on reports to indicate the sharing level.

Reports may be shared in a limited manner to protect business-sensitive information or findings. Limited report sharing may be internal to a department, school/college, institution, or the UMS as a whole. 

Sharing guidelines are determined by a need-to-know correspondence between the data and the report recipients (department, school/college, institution, etc.).

Do Not Share

The Do Not Share icon that is used on reports to indicate the sharing level.

Reports labeled “Do Not Share” contain sensitive information and are typically created for targeted needs and specific audiences.

Recipients of “Do Not Share” reports should never distribute those reports to additional recipients without checking with the original report author.
