Overview
If you’re a remote or hybrid employee who needs a UMS phone number for regular work calls, this guide walks you through activating, installing, and signing in to the Webex desktop app.

INFO: This article applies to individual employees using Webex for standard work calls. Service desk or call center roles may require a different setup.
Step 1: Activate your account
- Open the activation email from webex_comm@webex.com.
- Subject line: Your Webex account has been created! Join the University of Maine System.
- Click Activate in the message.
WARNING: When the Webex page opens, no further action is needed. Once the page loads, your account is activated. Close the tab.
Step 2: Download the app
- Go to https://www.webex.com/downloads.html.
- The site automatically detects your operating system:
- Windows: Click Download for Windows.
- Mac: Choose the version for Intel or Apple Silicon (M1/M2).
- Run the installer to complete setup.

Step 3: Sign in with your UMS credentials
- Open the Webex desktop app.
- Enter your full @maine.edu email address.
- Complete UMS Single Sign-On and Multi-Factor Authentication.
Step 4: Enter your emergency address (E911 compliance)
- When prompted, enter your current work location address.
- This ensures that 911 calls are routed to the correct emergency services.
- Save your address to complete setup.
INFO: Update your address anytime your primary work location changes. If you ever dial 911 from Webex on your computer, the address you entered is the one emergency responders will receive.
Step 5: Troubleshooting – Setup your voicemail
- Open a browser and go to the Webex User Hub
- Sign in with your UMS credentials
- In the left menu, select Settings → Calling → Voicemaill
- Use the on-screen options to:
- Manage your voicemail inbox (listen to or delete messages directly in the portal).
- Reset your voicemail PIN if needed.
- Turn voicemail on or off.
- Set your preferences for when calls go to voicemail (busy, no answer, etc).
- Record a custom greeting.
