How do I upload an immunization record for a student in the University of Maine System Immunization Portal PointNClick?

This article will walk employees who have the Immunization Validator Role through uploading immunization records for a student in the University of Maine System Immunization Portal, and associating the Immunization Record with the correct student.


  1. Using a web browser (PC/Mac, Tablet or Smartphone), visit the University of Maine Employee Immunization Portal. You will be taken to the UMS login page where you will be asked to enter your username and password. For detailed login instructions click here.
  2. To upload an immunization document for a student, click Scanned Doc Inbox from the left-hand menu.

  1. Click File Load to upload documentation.

  1. Click Choose File and select the file or files you want to upload.

  • Once selected your file(s) will appear. Click OK.

  • Your document will now appear in the Scanned Doc Inbox.

  1. To associate the immunization record with the correct student, open the document by clicking anywhere on the row of the document you want to open.

  1. In the Client/Patient field enter the student's name. You will see options for students that match the search. Match the date of birth with the student's name to ensure you are selecting the correct student. 
  • Under Category select Immunization Records. A red warning message will appear under Provider. We are not using this functionality at this time so you can disregard the message.

  • Click Assign.


  1. The document no longer appears in the Scanned Doc Inbox. Click Clearance Verification from the left-hand menu. You will see the immunization record Awaiting Review.

  1. Open the record by clicking anywhere on the row for the student you want to select.
  • Uncheck the box next to Show Unverified Only 

  • Under Add Event, select Vaccine

  1. Add vaccine under Procedure and Event Date information for the immunization. If entering MMR information indicate which MMR dose (MMR # 1 or MMR # 2) in the Comment box. Click Add Vaccine. Repeat for additional immunization records.

  1. If the student is missing a record you can use the Send Message button to send a direct message to the student informing them of the missing record.

  1. After the communication is sent, click the Verification Actions button, which will pop up a box. In the box, change the Verification Status to Waiting on Patient, and in Verification Comment add a short note, press OK on the box but do not Acknowledge the record. This will keep the record in the queue with the comment readily apparent.

  1. Once all immunizations are entered click Acknowledge. Close out the screen using the 'x' in the upper right corner. The records are now associated with the student and will be uploaded to MaineStreet in the nightly process.
