How To Purchase Adobe Apps

Any staff or faculty member in the University of Maine System needing Adobe products can purchase one of four apps directly from the GovConnection punch-out. This article walks you through the process of purchasing the needed apps, and then notifying IT so the licenses can be assigned to the appropriate users.

If something other than Creative Cloud All Apps, Acrobat Pro, Captivate, or Photoshop needs to be purchased, please email adobe-licensing-group@maine.edu with your request. Otherwise, follow the steps below.

Please keep in mind that processing times vary and are reliant upon multiple steps, including Marketplace approvals and typical vendor fulfillment timelines. Also, note that the price of Adobe apps in the GovConnection Marketplace goes down each month because they are pro-rated to an expiration/renewal date of June 30th. 

Details

Step 1: Purchase the needed Adobe applications.

  1. Login to MaineStreet MarketPlace.
  2. Go To the Shopping Home screen.
  3. Under the “Technology Suppliers” category, select “Connection” to go to their website via the punch-out menu.
  4. On the Connection punch-out page scroll down to the QuickList section and "View" the Adobe QuickList. Alternatively, you can search for Adobe at the top.
  5. Choose your product(s) and continue purchasing as you normally would. (ie, proceed to checkout, fill out purchase order information, and submit requisition)

Note: Adobe Apps are sold on a "pro-rated" basis, with an expiration of June 30th each year. Each month, beginning in July, the price goes down 1/12 of the full annual cost. If you're not sure which Adobe app you need or to learn more, see our Adobe Apps FAQs article.

WARNING: While completing your purchase in MSMP, you must add a “Note To All Suppliers” under “External Notes and Attachments” detailing each user receiving a license. Include their email address, and type of license.

To do so, click on the pencil in the upper right-hand corner of the "External Notes and Attachments" section of your requisition.

For example, if you ordered 3 products for 3 different users, you would add an external Note To All Suppliers that looks something like this:

WARNING: DO NOT add this as an internal note, or a comment, or an attachment. IT MUST BE an external note in the external notes and attachment sections for the information to flow through.

 

Step 2: Notify IT of your purchase for license assignment.

  1. You will receive two (2) emails related to your purchase:
    • The first email will come from MaineStreet Marketplace and details that your purchase order was created and sent to the vendor after the completion of your requisition.   Do not forward this email.
    • The second email will be from the vendor Connection, confirming receipt of a purchase order. The subject of this email will read as the following: "Your Connection Public Sector Solutions Order Request Has Been Received (#######) - PO#######". This is the email you will forward.
  2. Review the email from Connection to confirm the user and license assignment list you provided is included and accurate. As a reminder, it should look like the following, and if it doesn't please make sure you provide this information as part of the email message:
    • CC All Apps to jenny.jones78@maine.edu
    • CC All Apps to franck.smyth@maine.edu
    • Photoshop to kris.wolker@maine.edu
  3. Please forward this email to help@maine.edu so IT can process your order.
  4. The email you send will generate an IT ticket. IT will reach out to you once the license(s) are assigned to the appropriate email addresses, with instructions for how the application(s) can be installed.
