Accessible Guide for the Assigning a Cohort Process

This document is an accessible, text-only version of the Assigning a Cohort Process flowchart to assist in determining a student's cohort.

Detailed Information

  1. Begin with the student's information on institution, academic career, cohort code, and As of Date.

  2. Go through each academic term one by one.

  3. For each student with some enrollment activity in the term:

    1. Check if the student is already in the cohort:

      • If Yes, continue to check if they are enrolled.
      • If No, skip this student and go to the next one.
    2. Check if the student is enrolled for the term:

      • If Yes, continue to see if they are matriculated.
      • If No, skip this student and go to the next one.
    3. Check if the student is matriculated:

      • If Yes, go to the next step to gather additional information.
      • If No, skip this student and go to the next one.
  4. Determine the student’s Admission Type: Identify what type of student they are (e.g., first-time, transfer, etc.).

  5. Determine the student’s Academic Load: Check if the student is full-time, part-time, etc.

  6. Add student to the cohort: Assign the student to the appropriate cohort based on all previous checks.

Repeat for all students: Once finished with one student, go back and start with the next until all students have been processed.
