IMPORTANT: Review your existing ChatGPT workspace and save anything important before requesting access. Once the migration prompt appears, you may not be able to close it and return to your existing workspace.

Before You Begin

  • Review the differences between transferring supported content and exporting a copy.
  • Save any content you may need after the migration.
  • Finish any work you need to complete in your existing workspace.
  • Decide whether you plan to transfer supported content or export a copy.
  • Allow up to 40 minutes for the access request to process.

Written Instructions

Step 1: Request Access

  1. Open the UMS ChatGPT Edu migration request page.
  2. Select Continue.
  3. Select Submit request.
  4. Allow up to 1 hour for the request to process.
INFO: Submitting the request lets UMS IT know that you have completed the preparation steps and are ready to begin the migration process.

Step 2: Return to ChatGPT

  1. After the request has processed, go to chatgpt.com.
  2. Enter your UMS email address ending in @maine.edu.
  3. Do not select Google, Microsoft, Apple, or another authentication method.
  4. Select University of Maine System ChatGPT Edu.
  5. Authenticate with your UMS credentials through single sign-on.
  6. If prompted to choose a workspace, select University of Maine System ChatGPT Edu.

Step 3: Choose What Happens to Your Existing Content

After you return to ChatGPT, follow the prompts to choose how your existing workspace should be handled.

  1. Review the migration options shown in ChatGPT.
  2. Select one of the following:
    • Transfer supported content to move supported chats, Projects, and Custom GPTs into UMS ChatGPT Edu.
    • Export a copy instead of moving your existing content into the UMS workspace.
  3. Review the confirmation message.
  4. Confirm your selection to complete the migration.
IMPORTANT: Your existing workspace is removed after the migration. Make sure you have saved everything important before confirming your selection.

Step 4: Complete the Transfer or Download

What happens next depends on the option you selected.

If You Transferred Supported Content

  • Open the University of Maine System ChatGPT Edu workspace.
  • Review your conversation history, Projects, and Custom GPTs.
  • Confirm that the supported content you expected to transfer is available.
  • Wait until you have reviewed the workspace before recreating anything.

If You Exported a Copy

  • Watch for two emails from OpenAI; One that says your download has started and one with a link to download your existing account content.
  • Use the link in the email to download and save the copy in a secure location.
  • Check your spam or junk folder if the email does not appear.
INFO: The downloaded copy is a text file and for reference only. It cannot be used to recreate your chats as normal conversations in UMS ChatGPT Edu or another workspace.

Step 5: Review Your UMS ChatGPT Edu Workspace

After the migration, review the UMS workspace and restore or recreate only what is missing.

  • Confirm that important chats, files, Projects, and Custom GPTs are available.
  • Restore your Custom Instructions, memories, and personalization settings as needed.
  • Recreate any sharing links or permissions that did not transfer.
  • Recreate only the Projects or Custom GPTs that are missing.
  • Start a new conversation to confirm that the workspace is ready to use.

Step 6: Confirm the Migration Is Complete

Your migration is complete when:

  • You can sign in through UMS single sign-on.
  • The University of Maine System ChatGPT Edu workspace appears.
  • You can start a new conversation in the UMS workspace.
  • Supported content appears if you selected the transfer option.
  • You received and saved the download if you selected the export option.

Common Problems

Use the guidance below if:

  • The migration option does not appear after 40 minutes.
  • You see an unexpected request or sign-in screen.
  • Your session expires.
  • You cannot open the UMS ChatGPT Edu workspace.
  • Expected content is missing after migration.
  • The email containing your download link does not arrive.
  • You are unsure whether the migration completed.
