Appointment Booking Pages in Google Calendar

Overview

Google Calendar Appointment Booking Pages allow users to publish their availability and let others schedule appointments directly through Google Calendar. Once an appointment is booked, it is automatically added to the organizer's calendar, reducing the need for manual scheduling and email exchanges.

Appointment Booking Pages can be used for office hours, consultations, advising appointments, meetings, and other scheduled events.

Instructions

  1. Creating an Appointment Booking Page

  2. Open Google Calendar.
  3. Select Create or click an available time slot on your calendar.
  4. Choose Appointment Schedule.
  5. Enter a title for the appointment schedule.
  6. Configure the following settings:
    • Appointment duration
    • Available dates
    • Available times
    • Meeting location (Google Meet, in-person, or custom location)
    • Booking form questions (optional)
    • Buffer time between appointments (optional)
    • Maximum appointments per day (optional)
  7. Select Save.

Best Practices

Keep your calendar up to date to ensure accurate availability. Include:

  • A clear appointment title and description.
  • Add custom questions if additional information is needed before the meeting.
  • Use buffer time between appointments to allow preparation or travel time.
  • Regularly review your appointment schedule to ensure it reflects your current availability.

Availability of premium features depends on the organization's Google Workspace subscription.

Notifications

When someone books an appointment:

  • The appointment is automatically added to your Google Calendar.
  • The guest receives a calendar invitation.
  • Standard calendar notifications are generated according to your notification settings.

Organizations licensed for eligible Google Workspace Business plans may also have access to additional features, including:

Individuals using the link can view your available appointment times and schedule directly without needing access to your calendar.

Managing Appointment Availability

Your booking page automatically reflects your calendar availability.

When events are added to your calendar, unavailable times are removed from the booking page to help prevent double-booking.

Appointment schedules can also be updated at any time by editing the appointment settings in Google Calendar.
