Migrate OneDrive content that has been shared like a department share to SharePoint

During the migration from Box to OneDrive and SharePoint, some folders were migrated to a user's OneDrive account, although they were folders that were shared with the user's department. Since SharePoint is the more appropriate storage solution for departmental data, the content should be migrated to SharePoint.

Solution

  • If the department already has a SharePoint site, the owner of the OneDrive folder can copy the content from OneDrive to the Department's SharePoint using the synced folders under the OneDrive client or using OneDrive online and reshare the content to those who need access.
    • If there are a large number of folders or files, then create a ticket with the OneDrive content owner's contact information and the OneDrive folders that need to be migrated for assistance with migrating the content.
  • If the department does not already have a SharePoint site, create a ticket to request for a new SharePoint site including the following information:
    • How will the site be used?
    • Who should have access to the site and what permissions should they have?
    • Preferred site name
      • SharePoint Sites must start with either "UM -", "UMA -", "UMF -", "UMFK -", "UMM -", "UMPI -", "USM -", "UMLAW -", or "UServices -" and any apostrophes in the name will be removed.
    • Two co-owners for the SharePoint Site and their email addresses

Once the SharePoint site is created, the user can do a "Move to" on the OneDrive folder and point it to the Share point site. although if there are a large number of folders or files or there is an issue moving the content, then create a ticket with the OneDrive content owner's contact information and the OneDrive folders that need to be migrated for assistance with migrating the content.

Environment

  • OneDrive
