Managed Print Services (Xerox) Implementation Vision and Overview

UMS is in the process of implementing a new Managed Print Services program. This article provides an overview of the implementation and the overall vision and guiding principles.

Background

An RFP process was completed in 2022 for a Managed Print Services / Multifunction Device provider.  Xerox Business Solutions was awarded the contract. We are mindfully establishing an approach to creating a Unified UMS Managed Print Service with Xerox Business Solutions as our partner.

Vision / Guiding Principles

End-User Experience 

  • Consistent UMS wide user experience
    • Every User - Staff, faculty, students, community patrons 
    • Pay-for-print or UMS-funded – same experience, same device 
    • Every Campus - All UMS Campuses and major locations 
    • Every Device - Any user can use any device at any campus (that they can physically access) 

Security 

  • Secure print release with campus ID Card  (No more PIN codes)
  • Secure fax functionality 

Sustainability

  • Less waste from jobs that are never picked up
  • Reduction in energy consumption 

Efficiency / Fiscal Responsibility 

  • Less devices needed 
  • Reduction in smaller costly to operate devices
  • Vendor provided assessments and recommendations for devices and locations 
    • Campus involvement in adjusting recommendations and finalizing deployment plans

  • Sept 2022 ~ Project Kick-off
  • Sept-Dec 2022 ~ On-site Assessment and recommendations by Xerox
  • Sept - Dec 2022 ~ Design and document Business Processes
  • Sept-Dec 2022 ~ Configuration of Technical Infrastructure 
  • Dec 2022 - June 2023 ~ Installation of new devices at major campus locations
  • April 2023 - June 2023 ~ Installation of devices at remote locations
