Data Standard: Location Coding Proposal

Proposal Forum Presentation Slides presented by Karin Pires & Sam Carrell

Forum Notes

  • Working to streamline for everyone, especially students to ensure data provides clear information and that the information is similar if students register at multiple UMS institutions
  • Location identifies where a course is actually held. More specific than campus and less specific than facility ID
  • Goals are to align existing codes that are similar, resolve duplicates across campuses, align with new instruction modes and create auditing to ensure things stay aligned.
  • The Location projet is to help create consistency with class searches for Unified Catalog and any reporting on or searching of UMS class sections.
  • Affected processes are also being researched, such as student billing where Location intersects, and additional systems that use location (e.g., 25 Live, InfoSilem)

Comments & Questions

  • Clarification of descriptions: Mostly have to do with off-campus descriptions. Combination of codes for each will clarify the location.
  • In CS, is there a location definition that is localized to student financials or other functional areas? How does this relate to the OPEID project in regard to locations?
    • This is different from the location in the OPEID work. The Location field in CS is crucial for course scheduling.
  • How will the information in the appendix work?
    • The appendix is a start on specific locations that need modification during implementation. These are the locations where the same location code refers to two different actual locations (or vice versa).
  • Will this solve the issue with the campus coding required for NECHE reporting by Location?
    • This proposal will not change campus coding
    • The OPEID work will help address campus for the Dept. of Ed.
  • Does this committee understand the “maintain campus location table? Is this table in sync with the current proposed locations? Also, the “E-Z” button--will it be affected?
    • It has not yet been explored, but it is in notes to be addressed in implementation planning
    • Early College uses Location to determine tuition rate.
