How do I start, control, and troubleshoot a Zoom Room meeting using the in-room system?

Solution

I. Starting a Meeting

Action Steps & Location
Instant Meeting On the controller, select New Meeting.
Scheduled Meeting 1. On the controller, select Join and enter the meeting information (Meeting ID and password if required).
2. Choose your scheduled meeting from the meeting list on the controller.

 

II. Core Meeting Controls

The main controls are located on the controller screen.

Icon / Control Function Notes
Mute/Unmute Controls the room’s microphone. Always check the status before speaking.
Start/Stop Video Controls the Zoom Room camera.  
Share Content Allows sharing from a laptop via HDMI or wirelessly (if configured). Follow on-screen instructions on the Tap.
Invite Adds participants after the meeting has started. Search by email address or room contacts.
End Meeting Terminates the current Zoom session for all participants.  

 

III. Camera Control (Framing and View)

A. Adjusting the Camera Position

Use this function to fine-tune the camera’s focus, especially if Smart Framing is turned off.

  1. Select Camera Control on the controller.
  2. Use the on-screen controls to manually Pan (left/right), Tilt (up/down), or Zoom (in/out).
  3. Select a Preset (if configured) to instantly jump to a saved angle.

B. Changing the On-Screen Layout

  1. Select the View icon on the controller.
  2. Choose your preferred display layout (e.g., Speaker View, Gallery View, Thumbnail View).

 

IV. Troubleshooting Checklist

Issue Solution / Check
No Sound / Cannot Hear Others 1. Check if the room’s speaker is muted on the controller.
2. Verify the Zoom Room volume is up.
3. Ensure the room’s display volume is not at zero.
Cannot Be Heard 1. Ensure the room is unmuted on the controller.
2. Verify the mic icon next to the room name is not showing “Muted.”
Camera Not Showing 1. Ensure the camera is started (video icon not crossed out) on the controller.
2. Check that the physical camera lens is clear.
Logi Tap Frozen Wait 1 minute. If unresponsive, contact IT/Support with the room name. Avoid unplugging the device.
