Congratulations on getting a Power BI Pro license! Now you can do even more with Power BI, such as collaborating with other colleagues to create and share reports. Please keep the following key elements below in mind as you work within Power BI Pro.

Workspace = Collaborating space

As you may know already, you create a semantic model or report with Power BI Desktop. What happens after that? The answer is publishing your work to a Workspace on Power BI Service.

Workspaces are the place for collaboration and the collection of work for you and others in your department. Within the workspace, you and your colleagues can set up permissions, security, and data refresh of the reports.

If you or your department doesn't have a workspace, you can request one through this Power BI Workspace Creation Request form.

SharePoint = Saving your files

UMS recommends using SharePoint for saving Power BI (pbix) files or data source files. It is secure and works best with Power BI. For more information about SharePoint, please read our Sync SharePoint User Libraries to Your Computer page.

If you don't have a SharePoint Library for your department, you can request one through this Power BI HUB SharePoint Library Request form.

App = Sharing Reports

You can simply share each report with individuals from a Workspace. However, if you share with a large audience within the UMS, the best way to share is through an App. You can create an App from your workspace. If your workspace is within Premium Capacity, you can share with users who have a free (non-pro) Power BI license. For more information about Apps, please read the Publishing an App page.
