If you already use ChatGPT with a personal Free, Plus, or Pro account that is signed up under your @maine.edu email address, you can move that account to a personal email address before it is claimed by the University of Maine System ChatGPT Edu workspace. This article explains why you might want to do that, who is eligible, and how to make the change.
Time-sensitive: All ChatGPT accounts associated with an @maine.edu email address will move to the UMS-managed ChatGPT Edu workspace on October 1, 2026. Once your @maine.edu domain is verified by UMS and your account is provisioned through the automated SCIM sync, you can no longer change your own email address in ChatGPT. The change would have to be requested through an administrator. If you want your personal account to stay personal, make this change first.
Why You Might Want to Change Your Email First
Changing the email address on your existing ChatGPT account moves that account — and everything in it — to an address you control. Consider doing this if any of the following apply to you.
Common reasons
- Your account has personal content in it. Chats about your health, finances, family, job searching, hobbies, side businesses, or personal writing were never intended to sit in an institutionally managed workspace.
- You pay for Plus or Pro yourself. Subscriptions purchased directly through ChatGPT may be canceled and refunded on a prorated basis when the account moves into ChatGPT Edu. If you want to keep the subscription you are paying for, move the account off @maine.edu before the migration.
- You want to keep access after you leave UMS. Content that lives in the UMS ChatGPT Edu workspace stays with UMS. If your employment, enrollment, or eligibility ends, you may lose access to it. An account on a personal address follows you.
- You use ChatGPT for outside work. Consulting, freelance work, volunteer roles, or a second job do not belong in a University workspace.
- You want to keep Custom GPTs, Projects, and personalization intact. Not everything transfers cleanly during migration. Keeping the account on a personal address avoids the transfer entirely for that content.
- You would rather keep two separate accounts. One personal account for personal use, and a UMS ChatGPT Edu account for University work — each with its own history, memory, and settings.
This does not opt you out of ChatGPT Edu. You will still receive a UMS ChatGPT Edu account through single sign-on, and University work should be done there. Changing your personal account's email only determines which account your existing personal chats and subscription stay with.
Keep University data in the University workspace. Do not move University records, student data, employee data, research data, or other institutional information into a personal ChatGPT account. Follow Generative Artificial Intelligence (AI) – Guidance on Use and applicable UMS policy.
Before You Begin: Can You Still Change It Yourself?
You can change your own email address in ChatGPT only if all of the following are true.
- You have never signed in to the account using single sign-on (SSO).
- The account is not already part of an Enterprise, Edu, or Business workspace or organization.
- Your current email domain has not yet been verified by an Enterprise, Edu, or Business customer.
If your account has already been claimed by the UMS ChatGPT Edu workspace, the option will not be available and you will need to contact UMS IT.
Special cases
- You sign in with Google, Microsoft, or Apple. Add a password to your account first: Settings → Account. Then change the email.
- Your account uses a phone number only. Add an email address first: Settings → Account → Email → Add. Then change it normally.
Step 1: Decide What Should Stay Personal
Changing the email address takes the entire account with it. Before you change it, confirm that this is the account you want to keep as personal.
- Review your chat history, Projects, and Custom GPTs.
- Note anything that is University work and should instead live in ChatGPT Edu.
- Save copies of anything you may want to recreate in your UMS ChatGPT Edu account, such as Custom Instructions or reference chats.
- Choose a personal email address you will keep long term and can access right now for verification.
Step 2: Change Your Email Address
Use a web browser. The email change is not available in the ChatGPT mobile apps.
- Go to chatgpt.com and sign in with your current @maine.edu address.
- Open Settings.
- Select Account.
- Select your email address.
- Enter your new personal email address and complete the verification steps.
- Sign back in using your new email address.

Limits and Restrictions to Know
What carries over
Your data stays intact when the email changes: chat history, Projects, Custom GPTs, workspace membership, and your settings and preferences. An active subscription remains active under the new address.
What is limited
- Maximum of 2 email changes per 24 hours, and 20 over the life of the account.
- You cannot change to an address that already has an OpenAI account.
- A former address on the account cannot be used to create a new account.
Because a former address cannot be reused to create a new account, plan on reaching UMS ChatGPT Edu through single sign-on rather than by creating a second account on your @maine.edu address.
Step 3: Set Up Your UMS ChatGPT Edu Account
After your personal account is on a personal address, request and sign in to your UMS ChatGPT Edu account for University work.

- Sign in at chatgpt.com with your @maine.edu address and authenticate through UMS single sign-on.

If your account has already been provisioned into the UMS ChatGPT Edu workspace through the SCIM sync, the self-service email change is no longer available to you. Your options at that point:
- Contact UMS IT to discuss whether an administrator can assist.
- Create a separate personal ChatGPT account on a personal email address going forward. Chat history and workspace content do not transfer to a new account.
