Types of Student Addresses

Scope: This article provides information on the various Address types students may possess.

Purpose: This article provides detailed information on the address types, usage, and collection methods for student addresses.

Detailed Information

Accurate determination of where a student resides during periods of enrollment in the University of Maine System is both a State and federal reporting requirement. This page outlines the types of addresses and their collection methods.

Student Address Types & Descriptions

Address Type Full Name Definition Student Description Student Editable (see note below) Additional Information
HOME Home Permanent address at time of prospect or admission. What do you consider your permanent address to be? This is potentially where you return during breaks, where you will return after graduation, or where you live all the time. Home address will be leveraged as your mailing address until a separate mailing address is given. YES First Populated from admission application. Only updates if there is a change such as a family move, USPS update, etc. History of this address is maintained. Someone at this address should always know about student. Where student may return to for breaks, at the end of the term, or after graduation, or where they may live all the time.
MAIL Mailing Where mail should be sent (not dorm). If you cannot receive mail at your physical address, please provide local P.O. Box Information.  This address is part of directory information and the only address that will be released on request to outside agencies. YES First Populated from admission application. Students can edit this address. the History of this address is maintained and effective dated. Students who cannot receive mail at their local (see below) address and have a PO box or apartment while classes are in session.
LOCL Local Off-campus physical address of student while school is in session. If you live off campus, what is your physical address?  This is where you are living--perhaps temporarily--while school is in session.  If you live on campus, please don't add your residence hall address--this information is maintained by Residence Life. YES Used for determining the physical location of the student when they are not living on campus or at home while school is in session.
CAMP Campus Optional: where student or employee works on campus. Optional:  If you are employed on campus, what is the location where you work?  If you have more than one work location, please choose one. YES If there is more than one location, only one is chosen.
BILL Billing Where tuition bills are sent. What is the personal address to which the university should send your semester bills and/or statements? (Please do NOT enter corporate, school, or third-party billing information here; if your bills should be sent to a third party, please contact your Campus Business Office if you have not done so already.) YES Does NOT include third-party billing for students whose employer or another school pays their tuition.
DIP Diploma Where diplomas are sent. Where should the university send your diploma? YES  
RFND Refund Where refund checks are sent. Where should the university send a refund check if your student account is overpaid? YES  
BUSN Business Where student or employee works. It can be on- or off-campus.   NO Originally set up for students who work on campus.
CHK Paycheck For Employees: Where you want your paycheck sent.   NO HR Only
RESH Residence Hall Dorm on campus in which  student lives when classes are in session. This address will be updated by Residential Life Staff at your campus. NO RESH changes should not be directly entered into MaineStreet. Room assignments/changes must be entered in RMS and they then flow into MaineStreet. When an institution initially switches to use RMS, old room assignments must be manually inactivated to avoid duplication.

Notes

Address Type Usage

For general usage, the following hierarchy of student addresses may be used for contacting students:

  1. Residence Hall address
  2. Local address
  3. Mailing address
  4. Home address

For specialized circumstances, a different hierarchy may be used; for example, if sending out a diploma, the first address to be selected would be DIPLOMA, then HOME, etc. For sending out a bill, the first address to be selected would be BILLING, etc. Sometimes the "original" student address is required. How Student's Can Update their Addresses

Students can update their address through their Student Center in MaineStreet. To prompt them to update their current location, students are sent an email each semester reminding them to log in to the Student Center in MaineStreet. There, they will find a link in their To Do list to complete an Activity Guide which takes them through a set of questions to ensure they provide the correct updated information. The Description for Students column in the table below contains the actual questions posed to students in the Activity Guide.
