Overview
If you’re a remote or hybrid employee who needs a University of Maine System (UMS) phone number to make and receive regular work calls, this guide walks you through how to activate, install, and sign in to the Webex mobile app on your smartphone. You’ll also find answers to common setup questions and an overview of supported devices.

INFO: This guide is intended for individual employees using Webex for standard work calls. It does not apply to service desk or call center roles, who may require a different setup with additional tools and configuration.
Instructions
Step 1: Activate your account
- Look for an email from Cisco at webex_comm@webex.com with the subject:
“Your Webex account has been created! Join the University of Maine System”
- Click the gray Activate button in the message to begin.
INFO: After clicking, a Webex web page will open. You do not need to do anything on that page. Once it loads, your account is activated — just close the page.
Step 2: Download the app
Search for Webex by Cisco in your phone’s app store and install it, or visit: https://www.webex.com/downloads.html

Step 3: Sign in with your UMS credentials
- Open the app.
- Enter your full UMS email address with the @maine.edu domain.
- Complete UMS Single Sign-On.
- Approve Multi-Factor Authentication.
INFO: You may have to sign in more than once, especially if you are on campus.
Step 4: Set up your voicemail
- Tap Calling.
- Go to the Voicemail tab.
- Tap the blue Call Voicemail button.
- When prompted, enter your PIN:
- If you’re new to Webex Calling, your initial PIN is 1111#.
- You’ll be prompted to change it the first time you call in.
- If you’ve ever used voicemail at UMS before, try your existing PIN.
- If neither option works, you can reset your PIN here:
- Voicemail PIN Reset — Off campus? You must be connected to VPN to access the PIN reset service.
- Follow the prompts to complete setup and record your greeting.
Frequently Asked Questions
Can I use Webex calling on a computer?
No. Webex calling is only supported on mobile devices. Mobile phones meet federal E911 requirements by providing real-time location during emergency calls.
What devices are supported?
- iPhone: Requires iOS 16 or later
- Android: Requires Android 11 or later
The app is not compatible with tablets, flip phones, or older devices.
What if I don’t want to or can’t use my personal device?
Webex is an optional calling solution offered to remote and hybrid employees who prefer to keep a campus phone line. It is designed for use on smartphones with active cellular service to support emergency location requirements. If you choose to use Webex, you are responsible for using it on a device that meets these technical requirements.
Can I use a tablet?
No. Tablets, even those with a SIM card or data plan, are not supported. These devices do not meet the legal and technical requirements for emergency calling. They may lack native dialers, proper location reporting capabilities, or the ability to route 911 calls correctly.
It is your responsibility as a UMS employee to use Webex only on a compliant, cellular-capable smartphone.
Can I use a second device?
No. Calling will only work on your primary cellular device.
What if I didn’t get the activation email?
Webex softphones are available by request for remote and hybrid employees. If you believe you need one, talk to your supervisor. They can help initiate a request.
Do I need to use the Webex web portal?
No. You may land on a Webex page briefly when activating your account, but there is no need to log in or use the portal.
Can I use Wi-Fi, or need to use mobile data?
Devices without cellular capability — including tablets, Wi-Fi-only phones, or phones without a SIM card — are not compliant and must not be used. Using a non-compliant device may prevent 911 calls from reaching emergency services and puts both you and the UMS at risk.
It is your responsibility as a UMS employee to use Webex only on a compliant, cellular-capable device.
What if I delete the app or get a new phone?
You can reinstall Webex and sign in anytime. Your softphone number is linked to your account, not your device.
