Copying, Scanning and Faxing using a Xerox Device

Xerox Multi-function printers (MFPs) can be used for copying and scanning, and outgoing faxing, in addition to printing.  There are multiple destination choices available for scans, including scan to email, scan to OneDrive, and scan to Google Drive.  For receiving Faxes, see Fax over IP (FOIP).

Instructions

Copy

  1. At the MFP, tap your Campus card, guest copy card to the left of the Printer's display to log in (or use the panel to manually log in if you do not have your card)
  2. Press the Access Device button on the MFPs' display

  1. If using a Shared Account, Choose Select Accounts then choose the account to use.
  2. Choose Copy from the next screen

  1. When ready, press Start in the upper right of the display.

A potential workaround for folks who need multiple stapled copies but use the BYOD service is to print a single copy, and then copy it multiple times while using the staple option. You can learn more about the process in our Copying, Scanning and Faxing using a Xerox Device article.

Scan

WARNING: Guest Copy Card users should see Scanning from a Xerox Printer using a Copy Card
WARNING: The maximum emailed scan job size is 49 MB.
WARNING:  The maximum scan to cloud job size is 200MB.

Scan to Email

  1. At the MFP, tap your Campus card to the left of the Printer's display to log in
  2. Tap the Scan button on the MFPs' display
  3. On the scan screen press Scan to Email​​​​​
INFO: If you are sending the scan to yourself, you can select Scan to my email. Even if sending to another email, you can save time at the MFD by sending to yourself and then forwarding the scan to the destination email when back at your computer.
  1. Enter the email you would like to send the scan to
  2. If desired, you can tap the Settings button and edit the scan settings.
  3. If scanning multiple pages, check the box for Prompt for more pages.
  4. Press the button to Start Scanning 
  5. When the scan is complete you will be prompted whether you want to scan more or Send. Click Send to send the scan.
INFO: There was an issue with the Canon units having the email filtered as spam. In order to avoid carrying this issue over to the new managed print service, we established scan to self, and then resend from your own email so that the attachment does not get marked as spam

Scan to Google Drive

  1. At the MFP, tap your Campus card to the left of the Printer's display to log in
  2. Tap the Scan button on the MFPs' display

  1. On the scan screen press Google Drive
  2. Press the Scan button on the MFPs' display
  3. When the scan is complete you will be prompted for whether you want to scan more or Send. Click Send to send the scan.
WARNING: If this is the first time you have scanned to Google Drive, then you will need to check your email for an email asking for permissions needed for scanning to your Google Drive. Follow the instructions in the email to log in to Google Drive and approve access. (Remember to check your SPAM folder, if you don't see the email)

  1. Within a few minutes, you will receive an email notification that the scan completed with a link to the document in your Google Drive. 
    • The document should appear in your Google Drive in a folder named Scans for Papercut MF

Scan to OneDrive

  1. At the MFP, tap your Campus card to the left of the Printer's display to log in
  2. Tap the Scan button on the MFPs' display
  3. On the scan screen press OneDrive
  4. If desired, edit filename and click settings to configure the scan settings
  5. Press the Scan button on the MFPs' display
  6. When the scan is complete you will be prompted for whether you want to scan more or Send. Click Send to send the scan.
WARNING: If this is the first time you have scanned to OneDrive, then you will need to check your email for an email asking for permissions needed for scanning to your OneDrive.   1. Within a few minutes, you will receive an email notification that the scan completed with a link to the document in your OneDrive. Email for successful scan to OneDrive and link to the file in user's file
    • The document should appear in your OneDrive in a folder named Apps/Scans for Papercut MF

Scan to XM Fax for outgoing faxes (Staff and Faculty)

INFO: Scan to Fax is limited to Staff and Faculty due to XM Fax licensing. Other users with maine.edu email may Scan to their email and then send an email to <10-digit number>@fax.maine.edu
  1. At the MFP, tap your Campus card to the left of the Printer's display to log in
  2. Tap the Scan button on the MFPs' display
  3. On the scan screen press Scan to XM Fax
  4. Ensure document is ready to scan and
  5. Select destination
    • click the person icon at the bottom of the printer's display to select from the address book

OR

  • click the + (plus sign) to manually enter the recipient's information (format: 207XXXXXXX)
  1. Adjust settings if desired (dpi, etc)
  2. Press Start 
WARNING: "Guest" or "Copy Cards" are not able to send outgoing faxes due to licensing restrictions.

Xerox devices will Not receive incoming faxes.
