Data Stewardship Data stewardship framework to specify roles & responsibilities, identify stewards, & provide resources.
Data Training Creation of an Introduction to Institutional Data Video Training for universal use as well as prerequisite for Power BI Pro License requests.
Distance Education: Student Academic Plan Determining one or two methods for coding students in distance/online academic offerings.
Deferred Student Coding System-wide alignment of coding process for accepted students who defer their matriculation to a future term.
Duplicate IDs Targeted removal of existing duplicate IDs & Strategic prevention of duplicates with communication & training.
Early College Coding This initiative focuses on standardizing the coding and tracking of all Early College programs (Dual Enrollment, Aspirations, Bridge Year) to resolve current inconsistencies in student enrollment, class, and instructor data. The primary goal is to ensure accurate, system-wide reporting for budget assessment, student analysis, and NEASC accreditation compliance.
Employee Degrees Increase usage of Employee Self-Service to improve data quality of self-reported highest degree earned.
Enrollment Reports: Admissions Dashboard Comprehensive review of admissions metrics & data sources across the UMS, and creation of sample dashboard for PBI implementation
Financial Aid Coding This initiative is designed to enhance Financial Aid reporting compliance and data integrity by auditing system-generated reports (CDS and IPEDS), standardizing FA Item Type coding, and defining consistent Campus Solutions identifiers for specific aid categories, including Merit Aid and Endowed Funds.
First Generation Coding Revision of First Generation coding to align definitions across institutions with UMS policy, and to correct differences across Student Group & Reporting Flag
Gender & Pronouns Coding Create options for students and staff to self-identify their gender and pronouns
Historical Project Scoping Records Historically, Data Governance proactively conducts forward-looking assessments to identify, document, and scope potential future data quality improvement projects for long-term planning and prioritization.
Instruction Mode Coding System-wide standard definitions, codes, and descriptions for course instruction modes
Instructor of Record Method for entering the percentage of the instructional split (Instructor Load Factor in MaineStreet) for courses taught by multiple instructors
MaineStreet Access to CS Process Procedure for granting access to the MaineStreet Campus Solutions (Student Data) database
Military Leave Coding Procedure to align coding with UMS policy ensuring students who are called to active military duty can go on leave without negative financial or academic consequences.
Race & Ethnicity Coding Add ethnic backgrounds to required Race & Ethnicity fields to serve strategic DEI initiatives.
Records Retention APL Revision Revise and expand the current policy, operationalize APL, and support responsible stewards.
Report Certification Report Certification process, criteria, and seal to denote a report’s validity & reliability.
Student Application Data Create common set of admissions questions & codes as core application data across UMS.
Study Abroad Coding New coding was integrated into the system-wide enrollment reports to ensure the study abroad students are represented.
Veterans Coding Identifying Veterans & Dependents across institutions & creation of a data view to optimize accurate reporting
